Position Summary
Midwest Eye Center is actively recruiting for an open position of full time Office Manager for our Hamilton and Oxford locations.

Responsibilities
DUTIES AND RESPONSIBILITIES:

Responsible for day-to-day office operations.
Advise physicians on issues and problems.
Management of staff including but not limited to hiring, coaching, scheduling, terminations, yearly evaluations, and monthly staff huddles (or as needed).
Continually work to improve and build staff morale.
Resolve escalated patient or staff complaints.
Oversee financial processes of the office including bank deposits, charge entry, and payment posting. Balance, close, and update daily batches.
Complete and balance Income Journal daily.
Follow and require staff to follow MWEC and ESP Policies and Procedures.
Ensure that prior authorization processes for drugs, surgeries, and procedures are followed.
Work closely with Clinical Manager including weekly (or as needed) huddles to discuss staffing and other office related items.
Work with RCM to correct posting errors.
Stay current on insurance requirements for billing processes.
Stay current on new drugs, surgeries, procedures related to eye disease, and to those items performed by applicable providers.
Payroll - review and approve PTO, review, and authorize biweekly payroll for ESP processing.
Ensure compliance and staff training on SkyPrep.
Work in conjunction with appropriate local and corporate personnel for matters such as human resources, billing, IT, etc.
Verify and approve invoices on Concur.
Order office supplies on ENVI.
Attend biweekly manager’s huddles, in-person, and web-based training as required.
Oversee building maintenance and janitorial services.
Meet with vendors.
Work with ESP Procurement and providers on budget (annual CAPX wish list).
Use of the following software: Current Software - ENVI (purchasing of supplies), Concur (payment of invoices), UKG (payroll), SkyPrep (compliance and training), Allscripts (current PM system), MDI (EHR), Practice Plus (planned PM System), Podium (Google Responses), and future software as added. Training will be provided as needed.

Qualifications
QUALIFICATIONS:

Understand the importance of maintaining confidentiality. Able to maintain confidentiality under HIPAA standards.
Must have the ability to exercise a high degree of diplomacy and tact using excellent customer service and interpersonal communication skills with employees and patients.
Knowledge of accounting, data and administrative processes.
Knowledge of human resource management principles and practices.
Knowledge of medical issues and terminology.
Knowledge of applicable regulations and state and federal laws.
Well-developed verbal and written communication skills.
Computer skills including knowledge of relevant software.
Adaptability.
Must have valid local driver’s license, insurance, and ability to accept travel assignments as required to perform duties.
Knowledge and adherence to HIPAA, COMPLIANCE, OSHA.
Adhere to all MWEC and ESP Policies on safety and security.

 
EDUCATION AND EXPERIENCE:

High school graduate or equivalent. College degree preferred.
Two years medical office management experience in comparable health care setting.
