Associate Director, Proposals and Contracts

Overview:

Make an impact at a dynamic and growing life sciences company.  Invicro seeks an Associate Director for the Proposals and Contracts team to lead the team in delivering winning proposals and contracts to pharmaceutical and biotech clients. This role will be responsible for developing and leading the team’s operational strategies and for aligning individual team goals to meet corporate goals and intents. The Associate Director, Proposals and Contracts will work cross-functionally to improve process efficiency and maintain high quality of deliverables.  This role will require possessing broad domain area knowledge related to Invicro’s service offerings. 

The Proposal and Contracts team supports both the Business Development and the account management structure by developing proposals solutions for client Requests for Proposals (RFPs) and leading the development of contracts, Change Orders (COs), and Requests for Information (RFIs).  This role serves as an internal point of contact for the Business Development team and reports into the Corporate Operations department.

 

Key Responsibilities:

Work with Business Development, Program Management, Marketing, and internal Subject Matter Experts (SMEs) to enable the team to create compelling proposals that effectively position Invicro solutions to meet the needs of existing clients and prospects.

Identify and report team-relevant Key Performance Indicators (KPIs) and provide updates related to team initiatives to senior leadership.

Support the Request for Proposal (RFP) process from RFP analysis / service requirement documentation to solution definition and delivery. This includes participation in client discussions to discuss service needs, timelines, and delivery expectations.

Support the team’s scheduling of RFP review meetings, content provider identification, service solution documentation, and final proposal production and delivery.

Lead the team’s maintenance of proposal templates and databases to ensure all material remains updated and is complaint with legal, licensing, branding, and marketing positioning standards.

Manage and maintain the pricing templates used to generate costs associated with RFP responses and Change Order (CO) generation and engage with relevant stakeholders to update relevant documents as needed.

Support Invicro’s Legal department with the execution cycle of contractual documents.

Direct day-to-day proposal management activities including the updating and management of proposal documents, maintaining Request for Information (RFI) repository, and proposal reporting.

Acts as a resource in the business development process as needed, assisting team members.

Develop good working domain knowledge across all of Invicro’s core department service offerings and capabilities, including mastery of these department’s pricing matrices.

Line management, training, and professional development support for staff

Oversight of specific day-to-day operations of the team.

Lead operational improvements with a long-range planning mindset to enable greater process efficiency, deliverable quality, and employee job satisfaction.

Lead the development of team process improvements and/ or identification of products and tools to augment delivery.

Ownership of team assignments and capacity planning tools

Qualifications and Skills:

Strong written and verbal communication skills

High degree of numeracy

Proven track record for effective leadership, i.e., 3-5 years line management and experience managing staff

Outstanding organizational and prioritization skills

Ability to write compelling solution proposals in a collaborative environment

Healthcare industry experience in a service organization essential

Prior experience with pharmaceutical companies and major biotech clients

Superior editing, proofreading, and writing skills

Experience partnering with internal teams to develop language to be used in marketing campaigns, proposals, RFIs, or white papers

Ability to effectively lead a global team to manage the proposal process, from defining the solution and response strategy, to managing and reconciling input from subject matter experts, to ensuring final proposal is delivered on time and to specifications

High level of proficiency in Microsoft Word, Excel and PowerPoint skills

Strong organizational skills, a high level of accuracy and attention to detail

Self-starter with ability to learn independently, proactively search for information, and able to work with all levels of the organization

Effectively works under pressure and takes responsibility to ensure that plans are delivered to budget and time

Experience working in a cross-matrixed organization with remote team members

Experience and Education:

Bachelor’s degree required with a major in Life Sciences, Business, English, Communications, Journalism, or Marketing preferred

Ideally 7+ years or more experience developing proposals and pricing/cost budget development in the pharmaceutical industry, CRO or related field

Familiarity with sales process, including experience working with sales organizations.

Knowledge of clinical imaging is preferred, but not required

Proven track record of effective team leadership
